About the position

You will be the point of contact for customer deliverables, coordinating the life cycle of the deliveries from the first quotation to the goods are delivered and invoiced. You will play a key role in a fast-developing company and work closely with the operations & sales team, being the key facilitator making sure we professionally communicate and deliver what we promise according to schedule. The role is operational and hands-on, and you will become an expert in the ERP as well as first-hand communication with our most valuable stakeholders – our clients.

You will be part of the operations team, currently consisting of the Head of Operations and a Supply Chain Coordinator.

These tasks will be among your main responsibilities:

• Customer delivery follow-up and execution:
  • Follow-up on ongoing quotations
  • Processing quotes into sales orders and issuing order confirmations, confirming timelines on the deliveries with all relevant parties
  • Coordinate and plan future orders and keep relevant supporting overviews updated, making sure all parties involved are informed
  • Coordinate delivery with the customer, book shipment according to what’s agreed and prepare required documents, pack & ship the goods when ready
  • Collecting feedback from customers and processing warranty claims
  • Invoicing
• Administrative support:
  • Quality assurance of sales orders in the ERP system
  • Create and maintain relevant documentation in the QMS
  • Support the sales team by following up kick-offs, schedule and assist in preparations for meetings with clients and trip management for client visits
  • Dashboard preparation and sharing
  • Price list preparation and maintenance
  • Contract administration and quality control of received PO’s and NDA’s
  • Maintenance of the CRM database
  • Contact phone pick-up
  • General ad-hoc operational support as needed

Qualifications

• 1-4 years relevant work experience from similar positions, preferably in a technical environment
• Experience from working with an ERP system and preferably also CRM databases
• Fluency in English both oral and written, Norwegian is a plus, but not required
